What do we do

In general, we are responsible for the maintenance of the main structure of the building, e.g. roof and external walls, maintenance of the common areas and general upkeep of the site.

Certain parts of the property will be shared by some or all of the occupants in the building (i.e. halls, stairways, gardens, etc.), and obviously someone has to assume responsibility for the proper upkeep of these areas. These functions are usually the duty of the Freeholder or the Residents’ Management Company, who will have appointed Burns to act on their behalf.

Our Duties

Our exact duties will vary according to the property but in general will consist of:

  • Arranging for repairs and renewals as they fall due
  • Arranging for the cleaning and lighting of the common parts (Hallways, Staircases, etc)
  • Arranging for gardening and the maintenance of the communal grounds
  • Arranging for lift, intercom, gate and pump maintenance (where necessary)
  • Arranging for external and internal redecorations as they become due
  • Appointing and overseeing wardens /managers / caretakers (where necessary)
  • Keeping proper books and records
  • Collecting service charge funds

As well as arranging and monitoring, we will visit the property on an agreed basis to ensure that work is being carried out satisfactorily and to see if any further work is needed. In addition we will maintain records of all payments and receipts for each property, deal with individual owner’s reasonable queries, and liaise with your solicitors when a sale is anticipated.

Each building is allocated a specific property manager who will be familiar with your property. This ensures continuity with the owners and our client Freeholder or Residents’ Management Company. The manager is generally responsible for the regular activities relating to the upkeep of each property and, when the time comes, will see to the necessary arrangements and procedures in relation to any major works required to the property.

Burn Property Management not only ensures our building and surrounding areas are kept up to a high standard, they also ensure that we stay within the terms of the lease and everything is operated legally. The charges from Burns are not the lowest or the highest, but what you receive from Burns is a very good, efficient service. You feel that you are in safe hands and that all that is required will be handled efficiently.

COVID-19

Following government guidance and in an attempt to keep our colleagues safe we have moved our staff to homeworking where possible. To ensure safety to our team and the wider community we have taken the decision  that our offices should no longer be open to the public and we would request that you do not visit our offices but communicate with us via telephone or email.

It is our intention to keep any disruption to our services to a minimum, however, as colleagues comply with the government directive to self-isolate the inevitability of significant staff and contractor illness and therefore absenteeism means that some disruption is anticipated. It is our considered opinion that delays should be expected and we would therefore ask our clients and leaseholders to be as understanding as possible during these tough times for all.

We will endeavour to ensure as little disruption possible however, during this period, we will be focusing on the essential aspects of the safety, security and running of essential services at your building whilst maintaining a degree of response to lessee queries. We therefore need your assistance in ensuring that communications with our office are limited to matters that require urgent attention during this very stressful and anxious time for the nation.

We do anticipate potential delays and disruption with the postal service, therefore if you have not already opted to receive all correspondence from us by email, we would strongly recommend that you contact us at admin@burnshamilton.co.uk providing your permission to ensure you are safely receiving all critical correspondence.
